Questions people ask
Plain answers about cost, your data, and what it is like to use day to day.
Cost and billing
How much does it cost?
One flat price a month for each location. Every module is included, and it is the same price whether ten people work there or sixty. A second location is the same again.
There are no per-person fees, no tiers and nothing held back for a bigger plan. The price and calculator on the front page show your month.
Will I get lots of small charges?
No. It is one charge a month, the same every month. Opening a new location adds it to your next bill.
Is there a free trial? Do I need a card to start?
You can create a workspace and use everything without a card. The first 14 days are free, so you can bring your staff, stock and recipes in and run a real week through it. Add a card before the 14 days are up to keep going.
Can I cancel any time?
Yes. There is no contract. Go to Billing and choose Manage billing to change your card, see past bills or cancel. If you cancel, you can still sign in and read everything you put in. Nothing is deleted unless you ask for it.
Your data
Is my business's information safe?
Everything travels over an encrypted connection. Passwords are stored scrambled, so nobody, us included, can read them. Each business's records are kept apart from every other business's, and staff only see what their role allows.
Settings shows every device that is signed in to your account, and you can sign any of them out. Removing someone from your staff list ends their sign-in.
You can also turn on two-step sign-in, so signing in asks for a code from an app on your phone as well as your password.
Can I get my data out?
Yes, any time, in Settings. One download holds your staff, schedules, stock, recipes, invoices and books, so you are never locked in.
Using it
Does it work on my phone?
Yes. It runs in the browser on any phone, tablet or computer, with nothing to install. On a phone you can add it to your home screen and it opens like an app. Your staff use their own phones to clock in, see their shifts and swap them.
What kind of business is it for?
Independent restaurants, cafés and bars, from one location to a small group. It runs the back office: the schedule and the time clock, tip pools, stock and recipe costing, supplier invoices, the books and the paychecks.
Can I move over from Restaurant365?
Yes. Export your chart of accounts, trial balance, general ledger and vendor aging from Restaurant365 and bring them in from Settings. You see a preview of what will come across before anything is saved, and your opening balances land as one entry on the day you switch.
Does it connect to my till?
Square and Clover connect in a couple of clicks, and each day's sales come in by themselves. Each night's takings can be posted to the books as one balanced entry: sales by category, tax, tips, discounts, card and cash.
On Toast? Tell us from Settings, and meanwhile bring in Toast's Product Mix export, which fills in what sold for your food cost.
How does it work out food cost?
Photograph or email a supplier invoice and the prices go onto your stock items. Recipes are costed from those prices, so when chicken goes up you see which dishes it hits. Prime cost (food plus labor against sales) is on its own report, by location.
Does it work with my bank?
Download your statement from your bank's website as a file and bring it in. Everything the books already have is ticked off, and what's left (the card swipe nobody wrote down, the direct debit) is added in a click. A live connection to your bank, so transactions come in by themselves, is on its way.
Can my staff see their shifts in their own calendar?
Yes. Everybody gets a link that puts their shifts in Google Calendar, Apple Calendar or Outlook, and keeps it up to date. Shift swaps, availability and time-off requests happen on their phones, and the schedule is checked against labor law (minors' hours, breaks, overtime) before it goes out.
How are tips handled?
Set up a tip pool and each night's share is worked out from the hours on the time clock. Card tips are paid through the paycheck, and cash tips handed out on the night are reported for tax without being paid twice. Servers on a tip credit get the overtime and minimum wage top-up the law requires.
Does it do payroll?
It works out each paycheck, including federal withholding, Social Security and Medicare. Staff clock in and out on their phones, and pay comes from the hours they actually worked; anyone who didn't clock in is paid from the schedule, and the pay run says so.
Filing and paying the taxes, and paying people by direct deposit, is still up to you or your accountant for now.
Do I have to use all of it?
No. Switch on the parts you need and leave the rest off. You can change that whenever you like, and nothing you put in is lost when a module is off.
See it with your own business in it. Setting up takes a few minutes, and you don't need a card.
